PASSWORD PROTECTING FILES & FOLDERS
Protecting Files in Word Document
To establish a password for a Word document:
Open the file; click Tools menu; click Options then tab.
Type a password in the Password to open box; click OK
Type the password again; click OK
To create a password to modify (the file):
Type a password in the Password to modify box and then click OK
Type the password again in the Reenter password to modify box
Protecting Folders in WinXP
First you must first use a compressed folder then use the password protection option. To
compress a folder, right-click the desktop; click New, Compressed (zipped) Folder.
Rename the default folder by typing in a new name. Click the folder to open it. Open
Windows Explorer (Win key + E); select (highlight) the folders and (or) file(s) you desire
to protect with a password; right drag the items into the new compressed folder (see above);
release the mouse and select Move Here . Activate the compressed-folder window; click
File menu; click Add a password ; click Ok. Any files you later add to the folder later will
NOT be password-protected. In that case open the compressed folder; click File menu; click
Remove Password command; then File menu; click File; click Add a Password again.
The files in the password protected folder will be visible but will not be accessible
unless the password is used. You can hide these files by compressing a folder inside another
compressed folder then password protect the outer folder. The outer folder can thus be
opened but not its subfolder
Password Protect An Important Folder Using Winzip
By Bill Wilkinson SCSCC
(To use the approach described here, you must have Winzip installed on your computer.)
How do you know whether or not you have Winzip installed on your computer
1. Access Windows Explorer (Microsoft s File Manager) by holding down on the Windows
key and then quickly tapping the E key.
2. Right-click on any of the folders in the left pane or any of the files in the right pane.
3. In the context menu that opens, look for Add to Zip. If this option is available to you,
Winzip is installed on your computer.
How do you obtain Winzip if it is not installed on your computer
1. Access the Internet through your browser (Internet Explorer).
2. In the address bar, enter winzip.com.
3. On the Winzip homepage, click on Download Evaluation Version.
4. Click on either Download WinZip 8.1 SR-1 from CNET's download.cnet.com or
Download WinZip 8.1 SR-1 (winzip81.exe - 1.8 MB) from a WinZip download
server.
5. When File Download dialog box appears, click on save.
6. When the Save As dialog box appears, save the file (winzip81.exe) to your Desktop.
7. Click on the box Close this dialog box when the download is complete.
8. Close any open windows to get back to your Desktop.
9. Double click on the winzip81,exe icon and follow the prompts.
10. Now follow the three steps in the first section above to confirm that Winzip is going to
work for you.
Now we are ready to create a folder that is password protected.
1. Open Windows Explorer (Windows key + e)
2. Browse through the folders and nested folders in the left pane to find a folder that you
would like to protect with a password.
3. Right-click on the folder and then select Add to Zip.
4. When the Winzip dialog box appears, click on I agree.
5. When the Add dialog box appears, click on Password.
6. Place a check mark in the Mast password box.
7. Type your password and click OK.
8. Retype your password in the next dialog box that appears and click OK.
9. When the Add with Password dialog box appears, select Add.
10. The contents of the target folder selected in step #2 will be copied to the new zip folder.
11. Note that the files that were copied will have a plus (+) to the right of the file name to
indicate that they are password protected.
12. You will be able to open all the selected files without entering your password as long as
the zip folder remains open. However, when you close the folder and reopen it, the
password will be activated.
13. Now go to File on the Menu bar and select Move.
14. When the Move Box opens, select Desktop as the target location for the zip folder. (This
action will make it easy for you to find the new folder. You can move it later if you
choose.)
15. When you close the Zip folder, you will be taken back to your Desktop where you will
find the password protected zip file that you just created.
16. Now open the Zip folder and attempt to open one of the files contained therein. You will
be required to enter a password to continue.
