HOW TO SAVE A GIF IMAGE/SOUND FROM A RECEIVED E MAIL OR OTHER SOURCE

AND EMBED IN AN OUTGOING E MAIL

Outlook Express 6

GIF DEFINED:

Pronounced gif (hard g) stands for graphics interchange format, a bit-mapped graphics file format used by the World Wide Web, CompuServe and many BBSs. GIF supports color and various resolutions. It also includes data compression, but because it is limited to 256 colors, it is more effective for scanned images such as illustrations rather than color photos.

1.      Images to be embedded in an outgoing e mail or document may be saved in the MY PICTURES FOLDER, which is a sub folder of MY DOCUMENTS (Both the MY DOCUMENTS and MY PICTURES FOLDERS are already on your XP computer.

OR

You can create separate sub folders under MY DOCUMENTS, with a separate Folder for jpeg, gif images, MIDIS and WAV files. In this presentation I will save all saved images in the MY PICURES FOLDER

NOTE (A): I will not explain how to create the separate subfolders at this point in these notes , however, if interested, please go to the end of these notes for the suggested procedure. SEE NOTE (C). My firm recommendation is to take the SC CC class on Files and Folders by Barbara Resnick or Meredith Mitchell.

2. To save an image you receive in an e mail or from some other source

 


(A)   Right click on the picture THEN (B) Click on SAVE PICTURE AS

 

The SAVE PICTURE Menu will appear.. The original name of the image will be shown in the file name slot at the bottom. You can choose a new name by typing in the new name over the original name. )

 

OR If you wish to retain the original name, delete any special characters in the existing file name such as the % before saving. The only special characters that are acceptable in folder naming are the underscore _ and the hyphen - . You should NOT use special characters in any file (or folder) name. If you do not heed this warning the saved image will not embed in an outgoing e mail or document ..AND the receiver will receive only little boxes with a red X in them.

 

NOTE B: You should not change the file type of the image that you are saving. The computer recognizes the type of image file and that is what will be shown here. Just accept what is shown. If you try to change the file type, it could render the file unusable.


 

If you are unable to save an image this way, or for some other reason, such as a drop down menu after SAVE PICTURE AS that reads, The System Cannot Find The Specified File , then try to make the save using the same procedure outlined below for saving sound files( The Send, Plain Text etc procedure)

 

(C): MY PICTURES FOLDER opens for you to select the storage folder.

 

(D): In the open slot at the bottom, type in the name you select for the image to be saved.

 

(E): Select SAVE

 

SO NOW THE SAVED IMAGE CAN BE EMBEDDED IN AN OUTGOING E MAIL OR A WORD DOCUMENT



 

HOW TO PLACE (EMBED) A SAVED GIF OR JPEG FILE ON AN E MAIL FORM TO BE SENT (ALONG WITH OR WITHOUT TEXT).

 

IN OUTLOOK EXPRESS:

1.      Select MESSAGE then NEW MESSAGE

2.      Fill in the name after TO:

3.      Fill in subject

4.      Type message

5.      Place cursor in the e mail message area where you want the image to be placed

6.      See screen shot below left where right point arrows point to the desired position ( in this case) of the image.

 

7.      Click on the MOUNTAIN SUNSET ICON IT IS A SQUARE (See black arrow below in screen shot) (This ICON is located at the very right end of the toolbar located just above the message portion of the e mail form. (Same toolbar that contains the big A that offers the text color option).

NOTE: If you dont show this toolbar then click on Format and Rich Text (HTML)

 

NOTE: The saved image may be embedded in the e mail form before-during or after the message is typed.

8. THE PICTURE SOURCE MENU WILL COME UP.

9. After Selecting BROWSE ( above right ) your saved images in the MY PICTURES

FOLDER will appear. See below.

8.     Click the small down arrow near bottom right (Just above OPEN) .It will scroll until the image you want to embed is shown. Then HI-LIGHT the name of the image .

9.      Select OPEN at bottom right

10.  Select OK

11.  SEND the e mail

OTHER WAYS: Click on the ALT key and the I key at the same time , choose picture from the menu which appears, and browse to the picture you want to insert/embed in the outgoing e mail or document.

 

NOTE: First bring up the e mail message form , left click in the message area to make the barthe one at the top of the message areaactive (If grayed out). Then push ALT and I at the same time OR go to the top left of the screen and click on INSERT,..

THEN select picture , Select BROWSE and click on the image selected to be embedded.

 

OR: You can click on INSERT which is on the top menu between View and Format. In the small menu which appears click on PICTURE, then BROWSE to where you saved the photo, jpg or gif. Click OK and the picture will be embedded in your email.

 



 

 

HOW TO EXTRACT MIDI AND ,WAV, MUSIC AND SOUND FILES FROM A RECEIVED E MAIL , OR OTHER SOURCE.

 

(Only MIDI and WAV music/sound files can be embedded)

 


 

NOTES: (A). MIDI files do not support voice-only tones

(B). WAV files ( Audio) support voice and tone

(C) MIDI and WAV files MAY NOT successfully embed when using

Internet Explorer 7 ( IE7)

WHY After installing IE7 , Outlook Express MAY NO LONGER code

WAV or MIDI files properly. If so the source code shows only

The path to the file- music does not play.

 

MIDI FILE: Pronounced middy, an acronym for musical instrument digital interface, a standard adopted by the electronic music industry for controlling devices, such as synthesizers and sound cards, that emit music.NO VOICE. At minimum, a MIDI representation of a sound includes values for the note's pitch, length, and volume. It can also include additional characteristics, such as attack and delay time.

 

WAV file; The format for storing sound in files developed jointly by Microsoft and IBM. Support for WAV files was built into Windows 95 making it the de facto standard for sound on PCs. WAV sound files end with a .wav extension and can be played by nearly all Windows applications that support sound.

 


1.      FIRST create a new FOLDER in MY DOCUMENTS - Name THIS FOLDER (MIDI see * below), WAV, MP3 ( music OR sound or whatever ITS BEST IF YOU STATE WHAT IS IN THE FOLDER. NOTE WAV FILES AND MP3 FILES ARE LARGER THAN MIDI FILES, SO USE WITH DISCRETION..

 

NOW YOU HAVE RECEIVED AN E MAIL THAT PLAYS MUSIC and you want to save the sound portion of the received e mail. NOTE: The Music/sound files are not visible when embedded in an mail. But you can save the music.

2. GO TO OUTLOOK EXPRESS

 

3. Select TOOLS

 

4. Select OPTIONS

 

5. Select the SEND tab (See screen shot)

 

6.      Remove check mark (if present) in the box opposite the message, REPLY TO MESSAGE IN THE FORMAT IN WHICH THEY WERE SENT.

 

7.      On the same SEND tab page, in the lower part of the tab sheet under Mail Sending Format

A.     Place a check mark in the box to the left of PLAIN TEXT

B.     Select APPLY

C.     Select OK

NOW process the e mail you have received this way:

1.      Select FORWARD, and send to yourself. You will see the music file icon in the attachment slotBUT it will NOT save at this point.

2.      When receivedyou can save the music file-- right click on the music icon in the attachment slot. { OR Click on FILE and SAVE ATTACHMENTS }

3.      Select SAVE AS

4.      Browse to find your Music File and SAVE. Choose a meaningful name if necessary

5.      The Audio MUSIC file is now SAVED and can be embedded in an outgoing e mail.

IMPORTANT: Go back and UNDO the changes you made to Tools-Options-SEND TAB.-----.or you will stay in PLAIN TEXT mode.

HOW TO EMBED THE SAVED MUSIC IN AN OUTGOING E MAIL

1.      Go to Outlook Express

2.      Select Message-New Message

3.      Select FORMAT

4.      Select Background. The Background Sound Menu will come up

5.      Select SOUND

6.      Browse to MY DOCUMENTS AND THE FOLDER where you saved the audio music file and select the SOUND you wish to embed in your email.

7.      Select how many times, or continuously , you wish the audio or sound to play. See below.

8.      Click ok. The audio or sound file should now be embedded in the email you are about to send out.

 

CAUTION: If you wish to send an e mail with an embedded image and embedded sound-THEN embed the image first.

 

NOTE C: HOW TO CREATE A SUB FOLDER called EMBED IN E MAIL (or other name you may select) to be located under MY DOCUMENTS and MY PICTURES:

1.Go to MY DOCUMENTS

2. Double click on MY PICTURES

3.OR: Right click on MY PICTURES and then OPEN

4. Go to left of screen in 2nd from top blue outline area and select MAKE A NEW FOLDER

5. In the New Folder option slot type in ( over the words New Folder) the name of the new FOLDER : Embed in E Mail ( Caps do not count in Folder names)

6. Hit ENTER

Now your new sub folder path is: 1. My Documents 2.My Pictures and 3. Embed in E mail.

CONSIDER:

1. The SENDER and RECEIVER of the embedded e mail must have/use OUTLOOK EXPRESS.

A. I REPEAT To hear the embedded sound the receiver must have his/her e mail settings activated in their OUTLOOK EXPRSS mail under the Tools/Options/Send tab and Read all messages in plain text must be Unchecked. AND

B. The embedded file COULD be blocked by:

1.      Receivers Pop UP Blocker

2.      Receivers Adaware and/or comparable

3.      Receivers ISP may block the file

4.      Receivers Settings in his/her Antivirus/Firewall

5.      Receivers e mail program may not accept a file that big

6.      Receiver may not have a program that can play a music format

BUT

If the embedded e mail path is from Outlook Express to Outlook Express chances are that you/receiver will hear beautiful music, such as THE EYES OF TEXAS .


