Approval of Minutes
Minutes taken by Linda Walke of the March 6, 2008 Executive Board Meeting were approved by e-vote on March 11, 2008 and published on March 11, 2008.
Approval Purchase of seven MacBook laptop computers for use in the CyberCenter Classroom, from the apple Store at the The Domain, for a total price (including tax of $9,547.88 and purchase of seven copies of iWorks was approved by the Executive Board by e-vote on March 15, 2008.
Financial Report
Linda Shanhouse presented the February 2008 Financial Report. A motion to accept the report was made by Nelda McQuary and seconded by Peggy Uselton. The motion passed. The Financial Report will be filed for audit.

The CC Article for the April Sun Rays was submitted during the last week of March.
Rollout of the new SCTXCC website accomplished on March 29th, 2008:
The SCTXCC website development team consisting of Pat Hillcoat, Meredith Mitchell, Art Schmitt, and Phil Lahman, did an excellent job of researching, planning, implementing, training, and rolling out the new SCTXCC website.
The Executive Board and the Computer Club membership should take some time to compliment these individuals for their extensive efforts over the last 12-18 months during the new website design and implementation.
Vector Vest SIG Meeting Location:
The Vector Vest SIG has been meeting in the CyberCenter classroom for some time even though the meeting calendar indicated the location was to be in the meeting room. Nelda will talk to the leaders of the SIG about getting training for equipment set-up in the CyberCenter Meeting Room.
CyberCenter, Don Snapp
The copier in the workroom has been repaired and now is back in service. Remember it is not for general use by members. It is for the convenience of the board and instructors. It is agreed that if more than 1 or 2 copies are needed, they should be made at the CA office copier.
The old laser printer would cost too much to repair and has been permanently retired.
Don is in the process of weeding out obsolete items from the bookcase. The Genealogy group has gone through and removed their materials. The concept of a Computer Club Library has not proven to be successful.

We will host a New Member Reception on April 29, at 10:00 am in the Atrium. If any of the regular presenters cannot attend, please arrange for a substitute and notify Rex or me whom to expect. Thank you for your help in making these receptions so successful.

Mac Classes win the prize this month! With the exception of Computer Intro XP, the basic classes for both XP and Vista seem to be dropping off a bit; and for once, the photo classes are not totally full.
What the above chart doesnt show is that 5 classes were canceled by the Instructors, due to the small number of students (typically when there are only 1 to 3 signed up).
Special Interest Groups, Nelda McQuary
All SIG Leaders are now in control of their own web pages, with the exception of the following:
Beginners & Beyond getting final training.
E-Bay & Vector Vest - Pat Hillcoat has offered one-on-one training to them.
I am sure Peter Roll is in full control of Mac High Tea & MUG, but I havent heard from him.
The SIG web pages look very good, and some dont require monthly maintenance to keep them updated. However, there are some that are already out-of-date.
With the help of those involved the SIG Mail-List procedures, this is a summary that will be shared with SIG Leaders that continually ask for the information.
- The Mail-List is generated from the sign-in of those members attending a SIG meeting either by using Siggie or by using a Sign-in Sheet these sheets are used for SIGs meeting outside of the CyberCenter.
- Dick Smith manually adds the data from the Sign-In Sheet to Siggie.
- The Mail-Lists will be purged in April and July of each year. If a member has not attended their SIG in the last 18 months (approximately), their name will be dropped on these dates.
- A member, who has never attended a SIG meeting, can be added to the Mail-List by a Leader giving the members name and E-mail address to Dick Smith who will manually add it to Siggie. The rule above will apply if the member does not attend a meeting within the time specified.
- Class attendees will not be added to a Mail-List except in one of the two methods listed above.
- A member can be blocked from the Mail-List by sending a request to the Useltons with information identifying the person.
- Gene Uselton does a query and pulls up all attendees to the SIGs, which creates the Mail-List; the Mail-List is updated every 2 to 4 weeks.
- Only Paid Members are included on any Mail-List.
- Mail-Lists are maintained by the Uselton Team for AOL, e-Bay, Genealogy, Hardware & Technology, and ProShow Gold. All other SIGs maintain their own list.
Total attendance to all SIGs in March was 338.

Old Business
Unused room reservations Room reservations not being used have been released to the Community Association.
Club Policy on Disposition of Club Equipment A proposed policy has been drafted and distributed to the Executive Board. As there is still some fine tuning needed on the wording; it will be reworked before being presented for final approval by the Board.

- 7 MacBooks go into use with classes next week
- There has been a proposal that the Computer Club might share a cable modem that will connect the Community Building with the Activities Center for possible sharing of Internet connections between the IT task force and the Computer Club. More will be known about this possibility later.
- It has been reported that the Developer will not include an optical fiber network connection to the Cowan Creek facilities; it will instead be outsourced to a commercial service as an operating cost rather than a capital cost. At the present time this would not seem to impact the Computer Club as there are no plans for Computer Club space at that location.
Dave Dobbins volunteered to take a look at the future of our membership data base. He met with Barbara Resnick to learn how it currently works and is used and maintained. He then met with Doug Willoughby and Peter Roll to review his findings. This group reached the following conclusions:
- the Community Web Portal's resident data base is of little use to the Computer Club at this time;
- a replacement for the membership data base will be needed in the foreseeable future;
- this replacement should be web-based to allow access and use by Computer Club officials for maintenance, and by members at home for access to services
- the first step in planning a project to do this will be to conduct a workflow study, which Mr. Dobbins as offered to do;
- before such a workflow study can be conducted, it must be authorized by the Computer Executive Board and the Board must publicize and notify those who will be interviewed so that they understand what is going on and why.
A Proposal for this workflow study will be forthcoming in the next month or so, for action by the Computer Club Executive Board.
NEW BUSINESS
Request for excess computer by Photography Club This Club has not yet been chartered. When it is and when there is a computer to be replaced, we know they have made a request.
Sun City Thanks to the Troops Time will not be taken from the Monday program to publicize this event that has been announced in the Sun Rays and via other resident communications.
Room Occupancy Limits Groups meeting in the Atrium and Meeting Rooms # 1 - #4 are reminded to be aware of the capacity of each area. Care should be taken to assure exits are not blocked.
CA request contributions for ice machine in the pavilion The Computer Club makes minimal or no use of this facility each year, so will not contribute to the purchase of an ice machine.
Pulte information on Construction Office occupancy Information presented to date describes an issue between Pulte and the City of Georgetown. There appears to be no reason the residents or their Clubs should become involved.

The next Executive Board Meeting will be 9:30 A.M. Thursday, May 1, 2008 in Meeting Rooms #3 & 4 of the Activity Center.
