The Meeting was called to order at 9:00 A.M. by Dick Smith, President.

Approval of Minutes

 

A motion was made by Dick Smith on May 15,2006 to accept by e-vote and publish on the Computer Club web site the revised minutes of the May 4th Board Meeting.  The motion was seconded and passed by e-vote.

 

Financial Report

 

Linda Shanhouse presented the May, 2006 Financial Report. A motion was made by Gael Miller and seconded by Peter Roll to accept the report.  The motion passed.  The Financial Report will be filed for audit. 

 

A transfer of $956.16 in expenses from A/C 5101, Computer & Related Items, to A/C 6401, Special Projects was requested by Don Snapp.

 

DISCUSSION OF DIRECTORS’ REPORTS RECEIVED BY E-MAIL

 

Communications - Dave Hanna

 

Dave has been working to get all Computer Club addresses and data ready for the transition to the new Web Portal.  The only possible problem he can foresee will be the bounced messages resulting from bad email addresses of members.  He expects this situation to be corrected by member response.

 

CyberCenter - Don Snapp

 

Various possible alternatives to the vests currently used by the lab monitors were discussed.  Peter Roll will make some inquiries and report back at a future meeting.

We now have 96.5% of 2005’s membership.               

 

A New Member Reception was held May 23 in Meeting Rooms 3 & 4 from 9:30 – 11:00 am.  The turn out was very good – 43% (38 of 91 invited.)   The next New Member Reception will be August 29.

 

Peggy was very appreciative of the good work Janet Lull and Barbara Resnick did caring for our membership database while she was on vacation.

As a follow-up to my meeting in April with Bill Buppert regarding Forms and Blogs on the new Web portal site, a meeting was held with Bill, Dave Hanna, Darrylin Coleman, and me on May 16.  We discussed the value of an information pool with contributions from mentors and teachers and generally agreed that there may be a value for such a feature on our club Web site, but it probably would not be feasible on the new SC portal.  No specific recommendations came from the meeting, but we agreed to study the issue further.

Teacher Appreciation Luncheon May 18 was a resounding success.  18 were present.  Special thanks to Janice Manley, who planned, coordinated, took care of multiple details, and solicited enough door prizes from local merchants that everyone in attendance received one!  Each teacher also received a personalized mouse pad as a “Thank You” from the Training department.

Total expenditures for the luncheon including meal, decorations, gifts and incidentals were $273.61 

I shared with the teachers some of my concerns and hopes for the department in the months ahead, including:

Teacher and assistant recruitment. Aim: 2 qualified teachers for each class.

Teacher and assistant orientation class to acquaint them with classroom equipment, procedures, records, etc.

Streamline registration procedures

Increased emphasis on basic computer skills as preparation for our other more advanced courses

Standardized manuals for each class

As a result, I have already had a request for a meeting with the Photoshop teachers to discuss some of these matters further.  I plan to meet with the Intro to PC and Windows teachers as soon as they are all available (probably in the fall) to discuss improvement of our basic skills program.

A new 2 hours class planned for July is Internet and Computer Security taught by Bill Buppert. 

 

Special Interest Groups – Nelda McQuary

 

The following SIG’s have a disrupted meeting schedule for the summer – all others will be meeting per their normal schedule. 

 

Beginners – Last meeting June 8th until September 14th.

EBay – Next meeting in September.

Mac User Group (MUG) Will meet on the same date; time changed from 2:30 to 1:00 p.m.

ProShow Gold – Next meeting in September

Vector Vest – Suspend July and August

Website Design – Next meeting in September

 

Attendance to all SIG’s in May totaled 203 for May vs. 276 for April.  Website Design didn’t meet and Media Conversion didn’t report.  

 

UNFINISHED BUSINESS

 

2007 Room Reservations – The report to the CA was completed and submitted on May 22, 2006 by Gael Miller.  He explained that each club signs a contract with CA for the use of the various rooms.  At this time we are waiting for a reply from the CA.

 

MTG - Completion of Ballroom Celebration – Dick Doane reported July 7th is set as the Grand Opening of the Ballroom.  The event will be similar to New Homeowner meetings.  From 10:00 AM – 2:00 PM there will be booths for clubs to demonstrate their activities.  The Fitness Center is expected to open two weeks earlier on June 23rd.

 

Donation – The Computer Club will make a $3,000 donation towards the overrun in the Ballroom Improvements project expenses. This was agreed to via e-vote by the Executive Board.

 

NEW BUSINESS

         

          Cyber Social – July 31st

An announcement of the Computer Club’s Cyber Social to celebrate the 10th Anniversary of the first Computer Club meeting will be sent to the Sun Rays by Dick Smith. 

 

The event will be held in the Pavilion between 6:00 PM and 8:00 PM.  Peter will give a short summary of the past 10 years in the Computer Club.  He will assemble a display of early papers documenting the Club’s formation.  Those present at the first meeting who still reside in Sun City will be invited to attend and be recognized.

 

Attendance is expected to be around 200.  Expenses are expected to be about $300.00.  Refreshments will be ice-cream on a stick. It was noted that set-up will include connecting the PA system, turning on the blowers and putting up tables and chairs.  Gael will contact Denny Barnes (Social Chairman) about the ice-cream and coolers to keep it firm.      

 

          Usage of Cyber Center in the evenings

 

Building monitors have reported finding people working in the Lab at the time the building was to be closed.  Board Members, Administrative Specialists and System Administrators are the only people authorized to be in the Lab after Lab hours.  Nobody is authorized to be in the Lab after Activity Center hours.  A sign will be posted reminding all that the area must be cleared when the lab closes.  This is considered to be a temporary solution until Don can discuss the matter with Tina.  He will ask that he is notified at the time of a next occurrence so that he can follow-up

 

          CC Web Portal Implementation

 

Peter reported that now a new project manager, Evelyn Fox, has been assigned to the Web Portal project the pace has picked up.  Public access by general Sun City residents has been postponed to meet the schedule for getting content loaded.  Fortunately training of users is now in place and progressing.

 

Content load is scheduled for July.  In August the organization of the portal will focus on groups of resident interest groups.  Then there will be testing by the typical user.  Use by the Sun City public may be possible by September.

 

There has been a discussion of the request by some Clubs to restrict access to certain areas of their own web pages.  The ability to make these restrictions is being researched.  It would probably require the use of special logins and passwords.  These requirements typically cause additional complications when large groups of users are involved.  Being able to segregate the various clubs’ information will help with email and newsletter distribution.

 

The portal will have a form system available.  The Public Access network project that was part of the original plan is being implemented.  There will also be wireless access in many of the CA buildings.

 

Keeping all information current is going to be the long term challenge for the portal.  Typically updating data is easier than the initial creation.

 

Dave will provide the basic content information about the Computer Club to the Web portal office.

          

OTHER BUSINESS

 

          Junior Camp participation – 6/22 & 6/29 – Dick will forward to the Board the schedule of times the Computer lab is needed by the camp.  Peter is working to have the game collection ready for the Camp participants.  He will verify other such needs with Joan Keith.

 

 

The next Executive Board Meeting will be 9:00 A.M. Thursday, July 6, 2006, at the Sun City CyberCenter Meeting Room.
