Approval of Minutes
A motion was made by Rex Davenport and seconded by Linda Shanhouse to accept the minutes of the March 2005 Board Meeting. The motion passed unanimously.
Financial Report
Linda Shanhouse submitted the March 2005 Financial Report. A motion was made by Rex Davenport and seconded by Joe Razek to accept the report. The motion passed unanimously. The Financial Report will be filed for audit.
DISCUSSION OF DIRECTORS’ REPORTS RECEIVED BY E-MAIL
Communications, Dave Hanna
- Web Site Hosting Arrangements - Peter Roll has set up a meeting with PrismNet in Austin on Tuesday, April 12 to discuss the hosting of the Computer Club web site and the SCTX.org site that serves other Sun City groups. The objective of the meeting is to gather information to allow us to decide if we should continue with PrismNet under a normal business customer basis or should we look elsewhere for a web site hosting company.
- Web Site Outage March 20-21 - The Club Web site was not accessible from sometime Sunday, March 20 until late in the afternoon on Monday, March 21. We hope to avoid future outages by establishing a better relationship with our Web host. (See above item.)
- Posting of Non-Computer Club Items – The Club’s policy on what should be included in our weekly update email and on our web site was reviewed to determine if any changes should be made. After discussion, it was agreed that the current policy should remain in effect.
- Weekly updates are not being received by some members. Dave will meet with other Directors experiencing returned email problems to determine a solution.
CyberCenter, Don Snapp
New sign in procedures will begin for members on Saturday, April 9. Caroline Baumann was kind enough to do some reprogramming of Siggie so that the monitors will not have to stand by to try to be sure members sign in for the proper activity.
Dick Smith has supplied a 4 part USB hub to try out on the laptop as it only has two outlets.
A USB LED Light has been acquired for the laptop. Recently we have had a number of operators who needed more light to see the keyboard in the Meeting Room and in the other rooms in the Activity Center .
A Genealogy Tree icon has been placed on three computer desktops.
Membership, Peggy Uselton
The number of club members as of March 31, 2005 was 1,497.
A reception for new members was held March 29. A total of 279 new members were invited but less than thirty came to the reception. Many of the invitations sent by e-mail were returned.
Many of the “Welcome Letters” sent to new members by e-mail are also being returned. Peggy proposed that the welcome letter be handed to the new members when they sign up for membership.
Peggy Uselton and Dave Hanna will discuss the problem of returned emails to determine if changing our Sender name would allow members to accept and open our emails.
The new member receptions were discussed. The low turnout for the March 29 reception could be attributed to the returned emails and the fact that it was the Easter holiday. The next two receptions are scheduled for May 31 and August 30, which are also holiday weeks. It was suggested that the receptions be changed to some other day and possibly in the evening during daylight savings time. Gael Miller will try to reserve the Atrium for Tuesday, May 24 at 7:00 p.m. for the next new member reception.
Programs, Rex Davenport
The Monday programs are scheduled for April, May and part of June. Attendance at the Monday meetings has been around 200.
Jim Crutcher has agreed to be the mentor on the two browsers he presented at a Monday meeting.
Jane Greig, of the Austin American Statesman, will be the program speaker on June 13. Gael Miller will have this program published in the Sun Rays. A special note will be sent to members in the newsletter to inform them that they should arrive early since it is expected the ballroom will be crowded for this presentation.
Training, Joe Razek
March enrollment was good. The core classes and photos are filling for April. The Digital Camera class only had two students in April.
Dick Smith stated that when he conducted his email class, there was a lot of spam. As discussed in the Communication Director’s report, the problem of returned emails is going to be examined.
Special Interest Groups, Doug Willoughby
The CA now requires a contract to be signed to reserve meeting rooms. This includes Charter Clubs, but there is no cost involved.
UNFINISHED BUSINESS
Atrium Screen Update
Per memo from Rob McDaniel, the CA Board will move forward with moving the screen. The developer will pick up the bill for the design and estimate for the relocation of the screen. As it stands, the board wants the clubs to pay for the actual movement. Our position is that we would not agree to our paying until we see what the design is and how much it costs.
Lab Monitor Discussion
The response from members to sign up for specific days to serve as Lab Monitor each month has not been good. The monitor list now has 85 to 90 names, and about 40 percent of those could be dropped for inactivity. It was agreed that a phone list would be divided among those who would call the inactive monitors. They will be asked why they stopped monitoring and if they intend to be a monitor in the future.
NEW BUSINESS
News and Views
The Club has been asked if we want to give a presentation to be broadcast on News and Views. Peter Roll made a motion that the President appoint a subcommittee to develop a program for News and Views. Peggy Uselton seconded the motion. The motion passed unanimously. The President appointed Dick Smith, Peter Roll, and Dave Hanna to develop a program for broadcast and provide a report at the next Board meeting.
Sun City 10th Anniversary Celebration – June 18
The Sun City 10 th Anniversary Celebration is scheduled for Saturday, June 18 from 10 A.M. to 3 P.M. All the clubs will have an open house. It is expected that 1,500 people outside Sun City will attend. It was agreed that the CyberCenter would be open during that time and we would have 5 or 6 members assigned in shifts to give people tours and answer questions. Ideas for activities included a slide show loop in the classroom.
OTHER BUSINESS
Peter Roll and Doug Willoughby are on the list to attend the meetings in the CA Conference Room to represent the Computer Club on Ballroom Audio Visual Needs.
Microsoft Visual Basics
Peter Roll stated that internet sites have reported that Microsoft will discontinue Visual Basics.
Microsoft has made a change for authenticity update. Dick Smith will record the key on all software in the CyberCenter and report where this information will be located.
Club members will be informed at the April 25 Monday meeting presentation on Microsoft Front Page that the web site for Sun City will be developed in the next year. Computer Club members will be working on this
The next Executive Board Meeting will be 9:00 Thursday, May 5, 2005 , at the Sun City CyberCenter Meeting Room.
